Cowork Arcetec

Frequently asked questions.

What people ask us before deciding. If your question isn't here, write to us: we reply in under one business day.

Getting started with Arcetec

What do I need to work with Arcetec?

A Microsoft tenant: Microsoft 365, Entra ID, or an Azure subscription. It is the only entry requirement. If you don't have one yet, creating it is part of the work.

How does a project start?

With an unscripted conversation, a focused assessment that leaves us with a map, and an agreement with fixed scope and price before signing. Then comes a pilot with real people using the solution in their work, and finally production with support.

How do you charge?

Fixed scope and price after the assessment. Cloud consumption is billed separately, in Colombian pesos at the day's exchange rate (TRM), and managed services are contracted by monthly capacity.

Do you work outside Colombia?

Yes. We have delivered projects in nine countries. Service operations and governance are run from Colombia, in Spanish and on local time.

Azure consumption

Who bills me for my Azure consumption?

We do, as a Microsoft partner. You receive a single invoice in Colombian pesos, billed monthly in arrears at that day's official exchange rate (TRM), stated on the invoice, with thirty-day payment terms.

How can I lower my cloud bill?

With three levers we manage directly: Azure Hybrid Benefit to reuse the licensing you already pay for, reserved instances purchased in staggered tranches, and right-sizing by machine type and disk type.

How much can I save?

It depends on the architecture. For a client that ran its application and database on a single machine, splitting them into two tiers with Hybrid Benefit and reserved instances cut costs by 60% compared with pay-as-you-go pricing. A three-year reservation reaches a 62% discount on standard compute pricing.

How often is consumption reviewed?

It is reported every month in the optimization section of the report, and every quarter there is an in-depth analysis with a six-month forecast and recommendations for each environment.

Is cloud consumption subject to VAT?

Cloud services consumption is excluded from VAT (IVA). Managed services are subject to it.

Managed services

What does the managed service include?

Administration of the Azure platform and Windows Server operating systems, monitoring seven days a week with automatic ticketing, a formal patching cycle, backup management with quarterly restore tests, measured security posture and a ten-section monthly report.

What are your response times?

For a critical incident, thirty minutes to respond and four hours to resolve, with coverage seven days a week and progress updates every hour. Lower-severity issues are handled during business hours, also with committed times.

What happens if a ticket stalls?

It escalates on its own: to the service coordinator at sixty minutes, to the solutions architect at one hundred twenty and to operations management at two hundred forty. The client does not have to chase it.

Who is responsible for my database?

The database engine and the application layer remain with the client's team. We are responsible for the platform and the operating system, with technical support on the engine included at no additional cost. The split of responsibilities is documented component by component before we start.

How long does onboarding take?

Four to six weeks of enablement: discovery and inventory, baseline assessment, monitoring deployment, maintenance window configuration, runbooks and stabilization. Formal commitments take effect when the kickoff document is signed.

What do I receive each month?

A ten-section report with availability per server and the cause of each event, performance against the previous month, threshold analysis, updates, security, backups, incidents by severity, optimization and an action plan with an owner and a date.

Migrations and implementations

How long does an Azure migration take?

It depends on the inventory and the dependencies. A migration of critical infrastructure with SAP, SQL Server and third-party integrations was carried out on an eight-week schedule, including discovery and the design of the target architecture.

How do you keep things from breaking during the migration?

Migration in waves, with agreed cutover windows, testing for each wave and a rollback plan defined before touching production. And with network addressing planned so it does not conflict with the existing network.

What methodology do you follow?

The Microsoft Cloud Adoption Framework in five stages: discovery with an inventory of applications and dependencies, strategy with a business case, landing zone design, migration, and operations with governance and FinOps.

Can I keep part of my current infrastructure?

Yes. We have clients with hybrid architectures where existing investments coexist with new cloud services, connected through VPN or ExpressRoute.

Security

How do you measure the security of my platform?

With the Secure Score in Microsoft Defender for Cloud, reported month by month with its trend and the remediation status of each finding. It is not an opinion: it is a curve.

How do you harden servers?

We apply hardening baselines aligned with Microsoft and CIS practices, identical across all environments, and verify them every quarter against new recommendations.

How is your team's access to my systems controlled?

Our staff accesses only the systems that have been expressly authorized, through secure access mechanisms agreed between the parties, with Just-in-Time access on virtual machines.

What happens if you detect a security incident in the middle of the night?

Sentinel runs playbooks that act on their own: revoking the session, enforcing the second factor or isolating the device, without waiting for someone to wake up. The case then enters the same support workflow with its committed times.

Data and analytics

Do I have to migrate all my data to use Fabric?

No. OneLake connects your sources where they already are, through mirroring, shortcuts and connectors, and makes them ready for dashboards and artificial intelligence without moving them.

Which data sources can you connect?

On-premises SQL databases, Excel and CSV files, ERP systems and the business applications you already use. Each one comes in through the path that suits it.

Who owns the dashboards?

You do. The pipelines, the model and the dashboards are built on your own platform. Your information is not moved to any service of ours.

Can I apply artificial intelligence to my data?

Yes, with Azure AI Foundry on the same platform. The difference is that it works on your real data, not on a demo dataset.

Artificial intelligence and agents

How do you keep an agent from showing what it shouldn't?

Agents read from SharePoint with each person's permissions. No one can get a document through an agent that they could not open on their own.

Who is accountable for what an agent does?

Every agent has an owner, scoped permissions and traceability through Agent 365, just like an employee. You know who created it, what it accesses and what it has done.

What is Arcetec's MCP?

It is the standard Microsoft adopted to connect agents to business systems, and we already run it. It lets your systems answer from Copilot without building a separate integration for each one.

How do you roll out Copilot so it doesn't go unused?

By role, not by license. We identify the specific tasks of each profile, design the use cases and support the team until it becomes part of their daily work.

Microsoft 365 and our products

What do you do with Microsoft 365?

Migration and configuration of Exchange Online, Teams and SharePoint with site and permission governance, governed identity with Entra ID and Intune for devices, and optimization of the plans you already pay for.

Are Arcetec products installed in my tenant?

Yes, as a dedicated instance. Comunidad360, Planeo360 and the agents live in your tenant: identity is governed by your Entra ID, documents live in your SharePoint and the work happens in Teams. The code and the data stay with you.

What problem did the Power BI solution solve for Mercy Corps?

What happens when a question needs a person's attention?

The bot identifies complex cases and routes them to the human team along with the prior context of the conversation. That way, the advisor does not have to ask again what the customer already explained, and the handoff maintains service quality.

Can the assistant connect to the company's other tools?

Yes. The system is ready to integrate with a CRM, which makes it possible to record lead information and enrich the business's sales intelligence. The architecture is custom-designed so it can grow with your operation's needs.

How does the assistant help avoid losing sales opportunities?

By responding immediately and qualifying leads from the first contact, the assistant keeps inquiries from going unanswered during peak hours. When an opportunity is ready, it is handed to the sales team with the information needed to follow up.

What problem did automating contact validation solve?

Previously, checking that real estate portals were delivering contacts correctly was manual, slow and error-prone, and it could not detect failures in real time. This led to lost leads and lost sales opportunities. The automated solution continuously validates that delivery and removes the reliance on manual checks.

How are the validation results integrated with the company's systems?

The bot sends the results to the client's internal system via webhook. That way, every lead is traceable, so the sales operation knows which contacts arrived and which need attention, without relying on manual verification processes.

What is the web scraping service used for in this case?

A web scraping service was deployed in Chile and Colombia to extract sales and rental data. This information is used for market analysis and gives the sales operation up-to-date competitive intelligence that supports decisions on property pricing and availability.

How is Azure consumption billed in this service?

Consumption is billed by us as a Microsoft partner, on a single invoice in pesos at that day's official exchange rate (TRM). This way, your company has a single billing document for the entire platform, no matter how many environments are running at any given time.

What happens when a new environment needs to be added?

Each new environment is added to the inventory of the service Arcetec manages, so the contract is not reopened and no separate project is started. According to the published case study, Somic went from one to seventeen environments in twelve months without reopening the contract for each addition.

Who manages the platform as the number of environments grows?

The platform is managed by Arcetec, which adds each new environment to the service inventory. That way, your company's technical team can focus on its end customers while infrastructure operations stay with a single accountable provider.

What technologies power this solution?

The solution runs on Microsoft Azure and Windows Server. Both technologies make it possible to manage the ERP's production environments centrally, and service continuity is reinforced by a replicated architecture that eliminates the single point of failure.

What happened to the primary database engine?

A cumulative update left the primary database engine stopped in the middle of business operations. Faced with that situation, Arcetec chose to fail the service over to the replica server, which allowed operations to resume in forty minutes without waiting for the problem on the primary server to be fixed.

How was service restored so quickly?

The service was failed over to the replica server, so operations could continue while the affected environment was being dealt with. This decision kept the pharmacy from being without its systems for as long as it would have taken to recover the primary engine.

What happened to the affected environment after the failover?

The affected environment was rebuilt that same night, outside business hours. That way, the full recovery did not interfere with customer service during the day.

What technologies were used in this solution?

The solution relied on Microsoft SQL Server and Microsoft Azure. Combining a replica with the cloud platform made the failover and the subsequent rebuild of the affected environment possible.

What was the pharmaceutical manager's original problem?

The application and the database ran on the same machine with 64 cores and 256 GB of memory, so both competed for the same resources. That saturation hurt operational performance and made it hard to use the infrastructure efficiently.

What did the implemented solution involve?

Each tier, that is, the application and the database, was given its own machine, sized to the needs of its role. This separation eliminated contention for resources and made it possible to allocate each component's capacity precisely.

How was the 60% cost saving achieved?

The saving came from combining Azure Hybrid Benefit with reserved instances on Microsoft Azure. Compared with pay-as-you-go pricing, this combination reduced infrastructure costs by 60%, according to the results documented in the case study.

Which Microsoft technologies were used in this project?

The project was built on Microsoft Azure, using Azure Hybrid Benefit to optimize licensing and reserved instances to reduce compute spending. Both were key to achieving the savings obtained.

What was the institution's main operational risk before the solution?

The main risk was total dependence on a single database server. Any failure in that engine meant a complete halt to the institution's operations, seriously compromising the continuity of its services and the availability of critical information for its day-to-day management.

Which Microsoft technologies were used to solve this challenge?

Key Microsoft technologies were used to remove the dependence on a single server. Specifically, the solution was implemented with Microsoft Azure, Microsoft SQL Server for database management and Azure Backup to ensure the information is backed up.

How was database continuity achieved?

Database continuity was achieved by implementing three machines with synchronous replication. These machines, equipped with Premium SSD v2 disks, work together to ensure there is no single point of failure, and backups are managed separately according to workload type.

What concrete results did the institution achieve with this implementation?

The institution achieved guaranteed operational continuity for its database, eliminating the risk of outages caused by a single server failing. Three machines with synchronous replication were implemented, ensuring constant service availability, at a monthly cost of US$1,022.30 for the replica.

What does it mean for network protection to be documented in the contract?

It means the terms of your network protection are written into the agreement with the provider, not just into the technical configuration in the console. That way, what is committed is verifiable and enforceable for operations, and does not depend on the memory of whoever manages the platform.

What role does Azure DDoS Protection play in this solution?

Azure DDoS Protection is one of the components that protects the network against denial-of-service attacks. Together with network security groups by port and protocol, it helps control which traffic reaches the servers and from where, reducing the operation's exposure.

What is Just-in-Time access in Defender for Servers used for?

Just-in-Time access keeps the servers' management ports closed by default and opens them only for as long as needed, when an authorized user requires it. This limits the windows during which a server can be attacked from the network.

What does the 99.9% availability commitment on Premium SSD disks mean?

It is the level of availability that the Microsoft Azure platform commits to for the Premium SSD disks that support the operation. For the pharmacy, this figure backs service continuity and is written into the contract together with network protection.

How was the migration done without disrupting third-party integrations?

The migration was carried out in waves over eight weeks. Addressing was planned from the start, and care was taken to keep third-party integrations from breaking during the move, so operations could keep running while the infrastructure moved to the cloud. Each wave was designed to protect the processes that depend on those connections.

Which systems were moved to Azure in this project?

The systems that ran on the company's own servers were moved: SAP, Microsoft SQL Server and the web services. These are critical components for the company's operations, so the project was designed with special care to ensure the move did not affect how they run or the integrations that connect them with other parties.

What financial benefit did the client get from the three-year reservation?

By committing to a three-year reservation for compute, the client obtained a 62% discount on that line item compared with the no-commitment option. It is a cost lever that comes into play when a company has clarity about its medium-term infrastructure demand and decides to commit to it.

What should a similar company consider before migrating its critical infrastructure?

It is best to first identify the third-party integrations that cannot be interrupted, plan the addressing and define a phased move. A prior assessment helps decide which systems to move first and how to validate each wave. At Arcetec, we support that process with an approach tailored to each operation, always on the Microsoft platform.

What kinds of inquiries does the WhatsApp assistant handle?

The assistant handles first-level inquiries, meaning the most frequent and basic questions, using the organization's own information. When an inquiry calls for judgment or more detailed attention, the assistant routes it to a person on the team. This way, your team can focus on the cases that truly need human intervention.

How does the assistant know when to hand an inquiry over to a person?

The assistant is designed to escalate to a person on the team when the inquiry requires it. This handoff is part of the solution: the assistant resolves what it can with the available information and passes complex cases to your team, without leaving the customer without an answer.

What problem did Explore Canada have before implementing this solution?

Before the implementation, the entire volume of inquiries was handled by people alone, and much of the team's time went into first-level support. This caused delays in responses and limited the team's ability to focus on higher-value inquiries.

What concrete result did the assistant deliver?

In first-level support, response time dropped by 70%. This result reflects the direct impact of automating initial support over WhatsApp, a channel customers use every day, while personalized support remains available whenever it is needed.

What problem did Sencinet have with its data?

The project area's information sources were scattered, so every management KPI required integrating the data by hand. This consumed the team's time and made it hard to have consolidated information for making decisions about projects.

How did Arcetec solve the scattered information problem?

Arcetec implemented an enterprise data lake on Microsoft Azure that unifies the area's data sources. Thanks to this architecture, management KPIs are maintained without manual integration, so the information reaches the people who need it already consolidated.

What technology was used in this project?

The solution was built on Microsoft Azure, Microsoft's cloud platform, which Arcetec implements and operates for its clients. On this foundation, the data architecture supporting the project's enterprise data lake was designed.

What can my company gain from a similar data architecture?

A well-designed data architecture lets management KPIs be built on unified information rather than manual integrations. If your organization is dealing with scattered sources, you can contact us to assess your situation and define a solution tailored to your operations.

Why did Mercy Corps need to change how it presented VenEsperanza's results?

Because reports for donors and partners were built by hand, a process that made it difficult to show the program's results with the clarity and confidence that funders expect. With interactive dashboards, information is presented consistently and every figure can be traced back to its source.

What does it mean for the figures in the dashboards to be traceable?

It means that any metric shown on the dashboard can be followed back to the source it comes from. This traceability lets donors, partners and internal teams verify the results without relying on additional explanations, which brings transparency to the program's accountability.

What technology tool was used for this solution?

The solution was built with data visualization in Power BI, a Microsoft platform tool for creating interactive dashboards. Arcetec works exclusively with Microsoft technology, and in this project data visualization was the core of turning manual reports into dynamic, verifiable dashboards.

Can an organization similar to Mercy Corps apply this same solution?

Yes, if your organization needs to present program results to donors or partners and currently relies on reports built by hand. To assess whether this approach fits your case, you can contact Arcetec and receive consulting focused on the needs of your industry and your data sources.

What problem does this customs data integration solution solve?

It solves the fragmentation of customs information. Each national authority delivers data in different, scattered formats, which delays consolidation, hinders comparative analytics and leads to interpretation errors. The platform creates a common integration layer that brings that information together in one place.

How is data from the different countries normalized?

The platform standardizes the catalogs and unifies the tariff codes of the seven countries. As a result, the information from Colombia, Chile, Peru, Ecuador, Mexico, Argentina and Uruguay sits in a single structured data model, ready to be queried and analyzed together.

What do the organization's teams get once the platform is in place?

Teams access comparative dashboards and custom queries without manual intervention. The information is traceable and auditable, which supports timely operational and strategic decisions, with clean data for advanced analytics at an international scale.

What technologies was the platform built with?

The platform was developed as a custom ETL solution using Python and SQL for data ingestion and transformation, with SharePoint, Next JS and Nest JS as part of the architecture. The result is a tool tailored to the organization's regional needs.

What problem did this project solve for Sencinet?

Sencinet needed to unify data sources to build management KPIs. Its teams were slow to access key information and depended on manual processes that caused inconsistencies, rework and high operating costs in their dashboards.

What components make up the solution's data architecture?

We implemented an architecture for automated data ingestion, transformation, cleansing and loading into a data lake. On this foundation we developed the reports in Power BI and Superset, which replace the manual integration processes.

Can the new environment grow with the company's new needs?

Yes. The new environment makes it possible to scale to new use cases and quickly add new data sources without affecting the performance of the analytics layer.

Who benefits from access to the information generated?

Both Sencinet's project managers and its clients now access strategic information faster. This reduces operating costs and improves the use of data in a large-scale telecommunications operation.

What problem does implementing an RFM model solve?

It addresses the need to better understand members' purchasing behavior, making it possible to design differentiated loyalty strategies. It tackles the limitations of manual KPI dashboards and the lack of an analytical model to segment customers by value and purchase patterns, which made it hard to focus sales efforts and personalize services.

What technologies were used in this solution?

This solution used key technologies such as Python, which was likely used for data processing and implementing the RFM model. In addition, Azure SQL was used for database management and Power BI for visualizing and optimizing the KPI dashboard, enabling automation and analysis.

How does this solution support business decision-making?

The solution optimizes the KPI dashboard with automation and segments members using the RFM model. By building differentiated loyalty strategies directly into the executive dashboard, your company can make timely, evidence-based sales and service decisions, focusing efforts on the segments with the greatest potential.
