Planeo360: innovation in project management

A scene that may sound familiar
If your company works by projects, this scene will most likely sound familiar: the sales and marketing team with at least three tools open: one for the CRM, an Excel file to estimate costs and build the commercial offer, Word or PowerPoint to put the proposal together, and Outlook to send it. The project manager with an Excel schedule, a task management tool (that only a few users can access because the per-user cost drives up the project), another Excel file with the project's execution costs and hours to sort out with accounting, and a makeshift project KPI dashboard because there's no time to set them all up. The administrative team, not knowing when a project should be invoiced because its completion isn't reported in time, and using yet another system for invoicing. And, with luck, someone knows the profitability. That fragmentation is not a cosmetic problem. It's the reason many projects are delivered late, margins evaporate without warning, and managers end up spending more time consolidating reports than making decisions. It's the silent cost of an operation that grows faster than the tools that support it.We lived it too
At Arcetec we've spent years supporting companies through their digital transformation, and yet, internally, we fell into the same trap. We needed to know the status of a lead, but that information lived in one tool. To check a proposal, we went to another. The schedule was structured in yet another. The hours the team invested weren't very clear, because they weren't tracked in Excel. And when a milestone was met and we had to invoice, we had to check several tools before finally issuing the invoice in Alegra. The problem wasn't a lack of tools. We had plenty; it's just that some were limited to part of the team because of license caps.
Each system did its part well, but between one and the next we lost data, time and, above all, context. When the manager wanted to know whether a project was on time and turning a profit, the answer had to be pieced together across several people, sometimes not in a timely way, creating friction across every department. Out of our everyday challenges, Planeo360 was born as the solution we needed for ourselves. We were our own first customer, our first beta tester and, for months, the product's toughest critic. From eight tools to a single screen
Planeo360 is a 360° business management platform. That sounds big, but what it means is very concrete: on a single screen, a team can see where its leads are, what stage each proposal is in, how ongoing projects are progressing, how much time the team has invested, what that time costs, which KPIs are at risk and, when a milestone is met, generate the invoice without leaving the system. Behind that are 34 modules organized into 21 categories covering productivity, projects, schedules, tasks, human resources, time tracking, CRM, sales, commercial management, support, finance, document management, marketing, financial analysis, automations, permissions, alerts, white-label, multi-tenant, connectivity and RBAC. But at the end of the day, users don't think in modules: they think about their work. And Planeo360 is designed to keep that work flowing. The full journey: from lead to invoice
Where Planeo360 changes the conversation is in end-to-end customer traceability. A customer's story begins long before the contract and ends long after delivery. The platform follows that entire journey:- Lead capture and follow-up. A visual pipeline with six stages (New, Contacted, Qualified, Proposal, Negotiation, Won) that automatically detects inactive leads and lets you convert them into customers with one click.
- Proposals built in less time. An editor with AI-assisted content generation, linked to a cost estimation module that automatically applies the Colombian labor factor (1.62× the base salary, including social security, payroll contributions and statutory benefits). What used to take days now takes hours.
- Proposal delivery tracking. Every proposal sent includes open tracking and a portal where the client can approve, reject or request changes with a certified electronic signature, without having to log in.
- Control of projects in progress. Tasks, schedule, milestones, budget, documents and Gantt unified in a single view, with EVM metrics (CPI and SPI) calculated in real time to spot right away when a project drifts from the plan.
- Time invested and real return. Time tracking with an hourly rate, automatic cost calculation and a distinction between billable and non-billable hours. The project's real cost is calculated as the sum of direct (billable) cost plus indirect (non-billable) cost, and compared against the budget in real time.
- KPIs that matter. Executive dashboards with the KPIs that really move the needle: active projects, total accounts receivable, open tickets, team, EVM per project, sales funnel, salesperson ranking and annual quota attainment.
- Invoicing at exactly the right moment. When a milestone is met, the system detects it and triggers invoicing. This is where Alegra came in.
The Alegra integration: the natural close of the cycle
A platform that follows the customer from the very first email couldn't stop right before the invoice. That's why we integrated Planeo360 with Alegra. When a milestone is completed in the project schedule, invoicing stops being a manual task: the system recognizes that a condition has been met, and the information flows to Alegra to issue the corresponding document. The result is simple to describe and profound in its effects: nothing gets forgotten anymore, and each team member steps into the part of the process they need to validate from the same tool. The finance team no longer has to chase the project team to find out what was completed, and the project team no longer has to improvise when asked for the figure. Everything is recorded, everything is traceable and, for the first time, invoicing moves at the pace of the project rather than the other way around.360° management designed for project-based companies
Planeo360 isn't designed for every company. It's built for companies that live and breathe projects: consulting firms, agencies, engineering firms, architecture studios, software developers, construction companies, integrators and, in general, organizations whose business is delivered through deliverables, milestones and deadlines. For that kind of company, the challenge isn't just executing a project well. It's synchronizing all the pieces: the salesperson who captures the lead, the executive who puts together the proposal, the coordinator who plans the team, the consultant who logs their hours, the client who needs visibility, the finance person who needs to invoice. When those pieces speak different languages, the operation becomes slow and costly. When they speak the same language, something powerful happens: the company starts operating as a single organism. That's what 360° management means in practice. Not 34 standalone modules: a single flow of data that runs through the organization end to end, with each team seeing what it needs to see, without having to go looking for it.What's next
Planeo360 was born to solve our own pain points, but the conversations we're having with other companies confirm something we suspected: the problem of running a project-based operation while synchronizing half a dozen tools is practically universal. And the opportunity to solve it once and for all, on a single platform designed for LATAM, with data hosted in Colombia and pricing designed for the regional market, is enormous. If what you just read sounds like your company's reality, we'd love to show you how it works live. Planeo360 offers a 30-day free trial and guided onboarding so your team isn't left on its own along the way.
