Cowork Arcetec

Cowork Arcetec: your team and AI working on the same thing.

Cowork Arcetec with Microsoft 365 is the AI-powered workspace from ARCETEC SOLUCIONES TECNOLÓGICAS SAS. The whole organization works inside it: projects are created, shared with the right people, and every conversation stays where the team can find it. The agent works on the information the company already has, with each person's delegated access: the SharePoint libraries it already uses as its repository and, if the organization turns it on, its Microsoft 365 email in read-only mode. Each project carries its destination folder, its brand, its instructions and its skills, so the team does not repeat the same context in every conversation. It produces five types of deliverable with the brand applied automatically: presentations in PDF and PowerPoint with native objects, A4 documents in PDF and Word, spreadsheets in Excel, diagrams in PNG and SVG, and code projects in twenty-nine languages. A search engine that combines text and meaning finds any conversation or project, and people sign in from a computer, tablet or phone with their corporate account. Files are archived in the company's SharePoint and never stop being yours. It integrates with in-house systems through MCP connectors and APIs registered by an administrator, with encrypted credentials. Artificial intelligence is included: Claude models in Microsoft Foundry, on Azure. It includes sign-in with Microsoft Entra ID, administrator and read-only profiles, and an audit log. Arcetec implements, integrates and supports the platform from Cajicá, Cundinamarca, for companies in Colombia and Latin America.

Cowork Arcetec with Microsoft 365 is the workspace for your whole organization on the Microsoft 365 you already use: shared projects, everything the company has already written just a question away, and deliverables archived where they belong. It is not an assistant you consult: it is where the team works.

Working together on what your company already knows.

The meeting minutes, the project sheet, the quarterly report and the email where everything was agreed already exist, scattered across SharePoint, the mailbox and the memory of three people. What is missing is not information: it is a place where the team and AI can use it at the same time.

A project is the unit of work.

Each project keeps what would otherwise have to be explained again in every conversation: who works on it, where its output is archived, which brand it uses and what the agent should keep in mind. It is shared with the right people, and the conversations stay inside it.

Everything is kept, and that is why it can be found.

The conversation from three months ago where something was decided does not depend on someone remembering it: it is indexed.

Every conversation and every project stays in your instance, and the search engine goes through them in two ways at once: by the exact words someone wrote, and by meaning, for when nobody remembers how it was phrased. The results from both paths are combined into a single list. The meaning-based path uses a model that runs inside your own instance: your company's text is never sent to an external service to be indexed. And there is a keyboard shortcut that opens the same search from any screen: SharePoint documents, conversations, projects and brands, in a single box.

All of what was discussed, indexed

From project to archive, without leaving the conversation.

  1. Step 01 · A project is opened and shared — Each project carries its destination folder, its brand, its instructions and the people who work on it. Nobody has to explain the context from scratch again.
  2. Step 02 · Questions are asked about what already exists — The agent searches the SharePoint libraries, and the mailbox if it is turned on, with the access of the person asking: no more and no less than what that person already sees.
  3. Step 03 · The team and the agent work at the same time — Several people inside the same piece, each on their own part, with the colors and typography of the chosen brand and without overflow or substituted fonts.
  4. Step 04 · The piece is archived where it belongs — Someone reviews the result and archives it with a button, in the library and folder they choose. The agent does not upload anything on its own.

Your repository is still your repository

The question at the first meeting is always the same: “so where does this store the files?”

In your SharePoint. The platform does not create a parallel repository or ask you to upload documents somewhere else: it reads and writes in the libraries your team already maintains, with the site and folder structure that already exists. The agent's tools use the delegated access of the person in the conversation. In other words, each person sees exactly what they already see in SharePoint, not one document more. Being a platform administrator does not expand anyone's access to SharePoint. It is worth being precise about what stays on each side. The files are yours and stay in your libraries: the deliverable is just another file in the right folder, with its version history and inherited permissions, and only a pointer remains on our side. The work lives in your instance: the conversations, what the assistant read during them so it can pick them up again, the content of the deliverables with their history, the instructions and the skills. That is precisely what makes search possible, and it is deleted when you delete it.

Email is also company memory.

Half of operations were agreed by email, and that is where they still are: the accepted price, the change in scope, the date that moved. If the organization turns it on, the agent can look it up with each person's permissions.

You teach it once and it applies it every time.

A company's way of working does not fit in one conversation, so there is no need to explain it in every one.

There are three layers, and they apply together. Instructions tell the agent how to behave, for the whole company or only within a project. Guidance documents are reference material (a manual, a policy, a template) uploaded in Word, PDF, Markdown or plain text, which the agent opens when needed. And skills are specialized instructions for a specific task: how a report is written at your company, what goes into a project sheet, what gets checked before something is considered finished. When a company layer and a project layer overlap, the project's takes precedence: the organization sets its standard and each team adjusts it without asking for permission. One limit worth stating up front: if a skill includes scripts, they are stored for reference and never executed. What the platform incorporates is written judgment, not programs.

Five engines, not five templates.

A presentation is presented, a document is read, a spreadsheet is filtered, a diagram is looked at and a repository is unzipped. They are not variants of the same file, which is why each one has its own engine and its own formats.

Nine formats, each with its role

Which one goes out and which one stays inside is not a detail: it decides whether a piece looks the way it was intended.

The PDF is the deliverable: it is the only format that guarantees that whoever opens it sees exactly the typography and layout that were designed. If the brand font did not load, generation fails instead of silently substituting it. The editable formats are for internal work. DOCX cannot embed fonts (it is a limitation of the Word format, not a choice), so if whoever opens it does not have the font, Word substitutes it without warning. That is why the document that goes out is always the PDF.

How it is delivered, and what is needed on your side

It is a service, not software you install. This is exactly what Arcetec operates and what remains yours.

Cowork Arcetec with Microsoft 365 runs in Arcetec's cloud, in a dedicated instance for your organization: its own deployment and database, without sharing space with any other client. Arcetec takes care of the infrastructure, updates, backup and monitoring. People sign in through the browser with their corporate account, from a computer, tablet or phone. There is nothing to install and no specific device where the work lives: what was left half-done at the office can be picked up at the airport. On your side, you need a Microsoft 365 tenant and an administrator to authorize the application. If you do not have one, or have no one to manage it, we create it in your company's name and operate it for you.

What usually decides whether an AI tool makes it into operations or stays a pilot.

What a technology committee asks first.

The answers are not policies written in a document: they are properties the code enforces, which is why they can be verified in a demo.

Your brand, applied automatically and without exceptions

Accessibility is not checked at the end: it is derived at the start, which is why there is no way to skip it.

Panel de marca de Cowork Arcetec con Microsoft 365 para Comunidad: cada color de identidad con el token de texto derivado y su relación de contraste medida contra el fondo claro y el oscuro, todos cumpliendo el nivel AAA.

A brand is defined with two identity colors and its logo. From there, the shades that carry text are derived until they reach AAA level (seven to one) against the actual backgrounds of each theme, light and dark. The difference from checking accessibility at the end is that here there is no write path that allows an inaccessible palette to be saved. It is not that the system warns you: that state simply cannot be reached. And the pieces inherit that palette without anyone having to remember. Several brands coexist in the same deployment, so an agency or a business group can produce for each one without switching tools or maintaining duplicate templates.

AAA The level that is derived, not checked

We built it for ourselves before selling it.

Cowork Arcetec with Microsoft 365 was born because our own team was working blind: what we needed was in SharePoint and in email, and nobody could find it when they needed it. Everything on this page is in internal use.

Questions we get asked before signing.

What a technology committee and a marketing team usually want to settle at the first meeting.

Where exactly is our information stored?
It helps to separate two things, because they do not live in the same place. The files are yours and stay in your SharePoint: the deliverable is produced in memory, uploaded to the library someone chooses, and only a pointer (the library and the identifier) remains on our side, so downloading it fetches it from there again with the permissions of whoever requests it. The work, on the other hand, lives in your dedicated instance: the conversations, what the assistant read during them so it can pick them up again, the content of the deliverables with their version history, the instructions, the skills and the email index if the organization turns it on. That is what makes search possible, and it is a database you do not share with any other client. It is deleted when you delete it.
Does this replace SharePoint?
No, and that is precisely the point. The platform does not create its own repository: it reads and writes in the SharePoint libraries your team already maintains, with the sites, folders, permissions and version history that already exist. What it adds is the missing layer between information and work: finding what is needed, producing the piece with several people inside it and leaving it archived where it belongs. If you ever stopped using it, all archived documents would remain exactly where they are, because they were never anywhere else.
Who sees what? Can someone access documents they should not?
No. The agent's tools use the Microsoft Graph delegated access of the person in the conversation, not a service account with broad permissions. Each person sees exactly the same documents they already see when they sign in to SharePoint with their account, not one more, and the same applies to email. Being a platform administrator gives control over brands, users and the audit log, but does not expand that person's access to SharePoint in any way. And within a shared project, whoever joins sees that project's conversations: sharing is an explicit decision by whoever created it.
Can it be used from a phone, or only from a computer?
From either one, and from a tablet. It is a web application accessed through the browser with the corporate account, so there is nothing to install and no specific device where the work lives: what was left half-done at the office can be picked up at the airport, with the same conversation and the same projects. The interface is designed mobile-first, not as a shrunken desktop version.
Can it query our own systems?
Yes, in two ways. The first is MCP connectors: the server is registered and the agent can query it, whether it is open or requires credentials, and that credential can belong to the company or to each person. The second is the integrations already developed, currently Alegra, Granola and Planeo360 (and through it, Wompi and Treli), which come with every plan, and FICC ERP on the Enterprise plan. All of them are added manually by an administrator, with encrypted credentials and every addition recorded in the audit log: the model cannot register any, and everything it queries this way is read-only. For a system that is not yet integrated, your company or the vendor gives us an integration document and we evaluate it: depending on the plan, the development is quoted separately or included.
What is a skill and what is it for?
It is a specialized instruction that is loaded once and that the agent uses when needed: how a report is written at your company, what structure a project sheet follows, what gets checked before something is considered finished. Skills are loaded for the whole company or for a single project, and when they overlap, the project's takes precedence. Together with instructions (general or per project) and guidance documents, they are how the team avoids repeating the same context in every conversation. One important detail: if a skill includes scripts, they are stored for reference and never executed.
How is Cowork Arcetec with Microsoft 365 priced?
As a service, with a monthly fee based on the number of people using it, in three plans: Standard, Professional and Enterprise. The monthly fee covers the platform, infrastructure, updates, backup, monitoring, support hours and a monthly artificial intelligence credit. With a one-year contract, setup is free of charge. There is no charge per document generated or per piece archived. Before starting, we give you a proposal with the plan that fits your needs.
Can the agent delete or overwrite something by mistake?
It cannot, and not because of a rule but by design: the archiving tool is outside the agent's set of tools. Uploading a file is a separate call triggered from a button, with the destination path in view and a person watching. Not even an instruction hidden inside a client document the agent has read can trigger an upload, because that path does not exist. And archiving creates a new version in SharePoint, so the history remains intact.
Does it work if our brand is not well defined?
Yes, and it is usually the most common starting point. To create a brand on the platform, two identity colors and the logo are enough; from there, the shades that carry text are derived automatically until they meet AAA accessibility level against the actual backgrounds of each theme. There is no need for someone in marketing to calculate contrast or for a fifty-page brand manual to exist. During implementation we define the brands together with your team, and if the colors change later, they are updated in one place and all new pieces come out with them.
What happens if the model makes a mistake or makes something up?
There are two layers. The first is that the agent works on the documents it finds in your SharePoint and email, not on general knowledge, so the source material is your company's own. The second, and more important, is that the workflow is designed so there is always a person between production and delivery: the piece is created, reviewed and only then does someone click the archive button. With code the separation is even stricter, because the agent writes it but does not execute it: it does not compile, install or test anything. What it produces is structured text, and the one who decides to run it is a person who has read it.
How long does setup take and what do we need to have ready?
Between two and four weeks to the first project in production, counted from when we have access to the Microsoft 365 tenant. The first part is configuring your instance and registering the application in Entra ID; the second is defining the brands with your marketing team and setting up the first projects with their instructions. On your side, you need a Microsoft 365 administrator to authorize the application and someone in marketing to validate the colors and logo. No servers or infrastructure team are needed: technical operations are ours and included in the monthly fee. If your company does not have a tenant, or has no one to manage it, we create it in your company's name and operate it for you.

Arcetec's own solutions

Two ways to work with us

We work in two ways, and this is one of them. Our own products are a service that Arcetec operates on its own cloud, with a dedicated instance for each client. There are no servers to manage and no updates to apply. Azure projects work the other way around: they are deployed in the client's subscription, with its own billing and keys. If what you are looking for is your own infrastructure rather than a service, that is the line for you.

How long does it take today to find what your company has already written?

Schedule 30 minutes. We work live on a real case from your team, and you leave the meeting with an effort and cost estimate for your case, not a generic proposal.
